Event Workbench

Use the event workbench as the command center for one GearCheck-native event.

Goal

Staff can configure, publish, update, cancel, reopen, and audit an event without touching unrelated scheduling surfaces.

Before You Start

  • A template or manual signup roles.
  • An event channel if the event will publish to Discord.

Steps

Pick signup-only or GearCheck readiness

Signup-only keeps organization features and skips verification scoring. GearCheck readiness compares mapped roles against member verification data.

Publish only when saved

Save changes before publishing or refreshing Discord. Published native events refresh their embed after saved changes.

Use profiles for event defaults

Profiles are local presets for event copy, routing, mentions, media, recurrence, and announcement defaults.

Cancel with intent

Cancellation can keep a disabled embed or remove it, and can notify the selected channel, roles, and signup statuses.

Launch Checklist

  • Unsaved changes are saved before publish/refresh/cancel.
  • Closed or cancelled events have disabled Discord controls.
  • History shows important staff actions.

Common Pitfalls

  • Editing RaidHelper snapshots like GearCheck-native events.
  • Leaving the event channel blank before auto-publishing recurrence.
