Privacy FAQ

Straight answers to the privacy questions guild owners, staff, and members ask most. Each answer links to the Privacy Policy section it summarizes, so nothing here replaces the full policy.

What data does GearCheck store about my server?

GearCheck stores what it needs to run gear checks and the workflows around them: Discord identifiers such as user, guild, channel, and role IDs, guild configuration like staff permissions and channels, pack and build data, gear check evidence, workflow data such as notification history, and billing and operational records. What happens to the screenshots and OCR text I submit for a gear check?

Uploaded screenshots, pasted text, structured exports, the OCR text GearCheck reads from them, and the resulting scores, verdicts, and review notes are stored as gear check evidence, so staff can review a submission without asking you to resubmit it. See Data we collect.

Who can see my gear check results?

Guild staff with the right permissions can see gear check results, evidence summaries, review queue entries, staff notes, and roster readiness for their own guild. Other members generally see the bot messages, thread results, role outcomes, DMs, and other feedback generated by workflows they interact with. See How data is shared.

Does GearCheck sell my data?

No. GearCheck is not designed to sell personal data. Data is used to provide, secure, debug, improve, and support the product itself, and any public community stats are aggregate only, not built to expose private guild names, member identities, or evidence. See Overview.

Does GearCheck share my data with anyone else?

GearCheck shares data with the people and systems it takes to run the service: Discord receives the bot messages and role updates GearCheck sends on your behalf, a payment processor such as Stripe receives billing data needed to process payments, and infrastructure or support providers may process logs and stored files needed to operate GearCheck. GearCheck may also disclose data where the law requires it, to protect the service, to investigate abuse or fraud, to respond to security incidents, or as part of a business transfer. How long does GearCheck keep my data?

As long as it's needed to provide the service: guild history, exports, debugging, legal obligations, abuse prevention, and billing records. Guild owners and authorized staff may be able to delete, overwrite, export, or unpublish a lot of guild content from the dashboard. Even so, some logs, backups, billing, abuse-prevention, and operational records may remain for a limited period after deletion. See Retention.

Can I request that my data be deleted or exported?

Depending on where you live, you may also have broader privacy rights such as access, correction, deletion, portability, objection, restriction, or withdrawal of consent, and GearCheck may need to verify your identity and guild relationship before acting on a request. What Discord permissions does GearCheck's bot use?

GearCheck's bot asks for a specific, granular set of Discord permissions, things like Manage Roles, Create Threads, Send Messages, Read Message History, and Attach Files, instead of a blanket Administrator grant, so it only has the access its workflows actually need. Guild owners should still keep those permissions tight and avoid sharing dashboard access with untrusted users. See Security. Is GearCheck safe for kids? Is there a minimum age?

GearCheck is built for Discord communities and isn't directed at children under 13 or anyone below the minimum age Discord requires in their region. Guild owners are responsible for running their community in line with Discord's own rules and applicable law. See Children.
