Terms and Conditions

These terms explain the rules for using GearCheck across the web dashboard, Discord bot, verification tools, marketplace content, subscriptions, and integrations.

This page is a product-specific terms draft for GearCheck. It is written to make expectations clear for guild owners, staff, and members, but it should still be reviewed by qualified legal counsel before being treated as final legal advice.

1. Acceptance of These Terms

By using GearCheck, inviting the GearCheck bot to a Discord server, accessing the GearCheck dashboard, submitting evidence, publishing marketplace content, redeeming access codes, or purchasing a paid plan, you agree to these Terms and Conditions.

If you use GearCheck on behalf of a guild, Discord server, company, organization, or other group, you confirm that you have authority to manage GearCheck for that group and to bind that group to these terms.

2. What GearCheck Does

GearCheck helps gaming communities define build requirements, collect evidence from members, score verification submissions, assign Discord roles, review failed or uncertain checks, publish game packs, and understand guild readiness through dashboard tools.

GearCheck supports multiple evidence styles, including screenshots, OCR, export-based evidence, structured game data, Discord actions, and third-party integrations where available. GearCheck is a tool for guild operations. It does not guarantee that a member will perform well in-game, that submitted evidence is perfect, or that third-party data sources are always complete or accurate.

3. Discord Accounts and Guild Administration

GearCheck relies on Discord accounts, guilds, channels, roles, messages, slash commands, threads, and permissions. Guild owners and authorized staff are responsible for configuring the bot, choosing which channels and roles GearCheck can use, and making sure their community understands how GearCheck will be used.

You are responsible for maintaining access to your Discord account and for actions taken by users who have dashboard, Discord, or guild permissions. If you remove the bot, change Discord permissions, delete channels, or revoke integrations, parts of the service may stop working.

4. Guild Data, Evidence, and User Content

GearCheck may process guild configuration, pack and build data, item requirements, uploaded screenshots, pasted exports, Discord identifiers, role mappings, verification results, support tickets, notification rules, custom assets, marketplace listings, and usage analytics needed to operate the service.

You keep ownership of content you submit or configure in GearCheck. You grant GearCheck a limited permission to host, store, process, display, transmit, and transform that content as needed to provide the service, including showing results to guild staff and members, generating reports, exporting data, and delivering Discord messages.

Do not upload secrets, payment details, private authentication tokens, content you do not have permission to use, or evidence that violates your guild rules, Discord rules, game rules, or applicable law.

5. Third-Party Services and Game Data

GearCheck integrates with or references third-party services, platforms, games, add-ons, and data providers. These may include Discord, Stripe, RaidHelper, game publishers, game databases, community wikis, OCR libraries, export add-ons, and other services used to run the product.

Your use of those services remains subject to their own terms, policies, permissions, availability, and rate limits. GearCheck is not affiliated with, sponsored by, or endorsed by Discord, Stripe, RaidHelper, ZeniMax, Bethesda, Amazon Games, UESP, New World Database, NW-Buddy, CharacterMarkdown, or any other third-party game, add-on, or data provider unless explicitly stated.

Useful third-party terms include Discord's Terms of Service, Discord's Developer Terms, and the Stripe Services Agreement.

6. Marketplace and Shared Content

GearCheck may let guilds publish packs, templates, categories, build requirements, icons, and other configuration for other guilds to discover or install. Only publish content you have the right to share and that you are comfortable making public.

Marketplace content may be reviewed, hidden, edited, removed, or rejected if it is misleading, harmful, unlawful, abusive, duplicative, low quality, or otherwise not appropriate for the GearCheck community.

7. Subscriptions, Access Passes, and Billing

Paid features may require an active subscription, one-time access purchase, access pass, promotional code, lifetime access grant, or other entitlement. GearCheck may change plan names, prices, included features, limits, or billing options over time.

Payments are processed by Stripe or another payment processor. GearCheck does not store full card numbers. Your payment processor may collect and process billing information under its own terms and privacy practices.

Promotional access, review-based lifetime access, and manually granted access are discretionary entitlements. GearCheck may revoke access for fraud, abuse, chargebacks, security issues, violations of these terms, or incorrect grants. Paid access does not guarantee uninterrupted service or permanent availability of a specific feature.

8. Acceptable Use

You agree not to use GearCheck to:

  • Break Discord rules, game rules, or applicable law.
  • Harass, threaten, shame, or target members outside normal guild moderation.
  • Upload malware, secrets, stolen content, or illegal content.
  • Bypass subscriptions, tier limits, permissions, or access gates.
  • Interfere with GearCheck infrastructure, APIs, rate limits, or security controls.
  • Misrepresent marketplace packs, evidence, verification results, or user identity.

9. Service Availability and Changes

GearCheck may be updated, interrupted, degraded, rate limited, or unavailable from time to time. Integrations may fail because of third-party outages, permission changes, missing bot access, Discord API limits, game data changes, or provider updates.

GearCheck may add, remove, rename, or change features as the product evolves. Where practical, GearCheck will try to preserve guild data and provide migration paths, but preview or limited access behavior may change.

10. Disclaimers and Limitation of Liability

GearCheck is provided on an "as is" and "as available" basis. To the maximum extent permitted by law, GearCheck disclaims warranties of merchantability, fitness for a particular purpose, non-infringement, availability, accuracy, and error-free operation.

GearCheck is not responsible for guild decisions, roster outcomes, game performance, member discipline, third-party service behavior, or data submitted by users. To the maximum extent permitted by law, GearCheck will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost data, lost goodwill, or service interruption.

11. Updates to These Terms

GearCheck may update these terms as the service changes. The page will show the latest updated date and version. Continued use of GearCheck after an update means you accept the updated terms.

GearCheck may add explicit terms acceptance tracking for paid guild owners, setup flows, marketplace publishing, or other high-impact actions.
